Job Description:

Intake Court Coordinator

Responsible for coordinating functions for the criminal justice system in Milwaukee County. Reports to the Chief Judge for the First Judicial District and the District Court Administrator. In addition to working with judicial officers assigned to Milwaukee County criminal courts, also works with advisory boards, including County Board and County Executive representatives, and appropriate staff of departments and organizations in Milwaukee County criminal justice system, including, but not limited to, District Attorney’s Office, Clerk of Circuit Court, Sheriff’s Department, House of Correction, Municipal Police Departments, Department of Human Services, State Public Defender’s Office, Wisconsin Department of Corrections, pretrial services providers, treatment providers and community representatives.

JOB DUTIES:Under general direction, monitor day-to-day activities of criminal intake process; work collaboratively with agency representatives to develop remedies for identified case processing problems; Identify strategies and methods to maximize efficiency of case processing and court operations; Devise methods to collect and analyze intake/misdemeanor case processing data on daily, monthly, quarterly and annual basis; Provide interpretation and analysis of data for use in activity and outcome reports, strategic planning and effective case flow management; Work with the Chief Judge and representatives of the Milwaukee County Criminal Justice System to create goals, objectives and outcome expectations for court system components; Design and implement methodologies to measure progress toward established goals and objectives; Define programs to accomplish the identified goals, objectives, and outcomes; establish and coordinate Intake Court case processing meetings; develop agenda items, prepare meeting documents, take, transcribe and disseminate meeting notes; assume Interpreter and/or Felony Court Coordinator duties in their absence; develop budgets for functional court units within the funding allocation; establish processes for releasing bids and selecting vendors, as necessary; devise methods for monitoring court operations, for both programming and financial management; design and implement appropriate methodologies and information management capabilities to measure progress toward criminal justice system goals and objectives; integrate goals, objectives and outcomes with Milwaukee County’s strategic planning process; seek grant opportunities and prepare grant proposals for funding for court services; facilitate grantor relations with non-County funding sources; problem solve and system span among the participants in the criminal justice system; and, work with the Chief Judge and representatives of the Milwaukee County criminal justice system to prepare funding recommendations for court services for inclusion in the County budget process and perform other duties as assigned or required.

MINIMUM QUALIFICATIONS

Education and Experience: High school diploma or G.E.D. and five (5) or more years of experience in the administration of court operations and/or public administration required; OR Possession of a Bachelor’s Degree from an approved college or university and two (2) years of experience in the administration of court operations and/or public administration. NOTE:Bachelor’s or Master’s degree with a major in Paralegal, Criminal Justice, Pre-Law or related field is preferred.


Preferred Experience: Preferred experience in the administration and coordination of court services, in project management, grant writing, drafting/analyzing bids for contracted services, budget monitoring, and use of PC based spreadsheet applications and compiling information for statistical analysis. Membership in organization such as the National Association for Court Management is desirable.

Knowledge, Skills and Abilities: Extensive knowledge of Milwaukee County’s criminal justice system and justice information systems, knowledge of court administration principles, court administration experience and experience and skill applying organizational policies and procedures; knowledge of fiscal management and general business practices; knowledge and ability to draft and analyze bids for contracted services; skill in identifying problems and in applying knowledge, policies and principles to solve everyday problems and in establishing priorities and coordinating work activities; written, verbal and communication skills; ability to exercise initiative and make decisions; ability to work effectively and harmoniously with the public, administration, staff and others involved in the court system.
